In Microsoft 365, the UserPrincipalName (UPN) serves as a crucial identifier for users. When users access Office 365 applications, they need to use their UPN as a sign-in name. It becomes necessary to modify a user’s UPN in various situations, such as matching it with their primary email address, accommodating changes due to rebranding, employee transfers across divisions, company mergers, or acquisitions by external organizations. In these circumstances, Tenant administrators may find it difficult to reset the UPN for all users collectively.
Specmasoft’s Office 365 Manager is a desktop-based user management tool. It helps you to modify the UserPrincipalName (UPN) for an individual user, as well as update the UPN for multiple or all users in a bulk operation. This application provides the option to select specific users from a report grid or import users from a CSV file for UPN changes.
Steps to Bulk Update UPN for Multiple Users in Office 365/Azure AD
Follow the below steps to modify the UPN (user principal name) for multiple users in bulk using Office 365 Manager.
- Open the UI console of the Office 365 Manager application.
- Go to the Azure AD page, which is the default landing page when you open the application.
- In the Office 365 Users tab, within the report picker, choose the report that lists the users for whom you want to change the UPN. If you intend to change UPN for all users in your organization, keep the All Users report view.
- Select the required users from the report grid. If you plan to select users from a CSV file, you can skip this step.
- In the Update Users section, click the Update UPN button to open the action UI.
- If you haven’t selected any users from the report grid, the application will prompt you to pick users using one of two options: Search and Select Users or Import Users From CSV.
- In the action user interface, enable the Update domain part in UPN option to modify the UPN’s suffix (domain) part. Please note that the UPN’s prefix (user name) part can be changed only when you’re performing this action for a single user. In bulk updates, you can only modify the UPN’s domain part.
- Next, choose the new domain that you wish to use for updating the UPN of the selected users. Ensure that you have already set up and verified the new domain within your M365 Tenant.
- Finally, click the Update button to initiate the UPN reset process. Monitor the progress and status of the operation in the application.
- After the process is completed, ensure that the UPNs have been successfully updated for the selected users.
- Verify that users can log in using their new UPNs.
