Managing Microsoft 365 licenses for a large number of users can be a challenging but essential task for cost-saving purposes. Tenant administrators tasked with license management must identify and unassign unused licenses and reassign them to users who need them. Specmasoft’s Office 365 Manager tool provides the capability to update Microsoft 365 licenses for bulk users through a CSV file.
Using this tool, you can assign separate licenses for different sets of users. You can specify the desired license by its display name or SKU name in the CSV file. If you need to assign or remove multiple licenses, you can enter them as comma-separated values.

Features Supported in Bulk Update License using CSV
This tool offers support for the following license update features using a CSV file.
- Assign License: Allows to assign a new Microsoft 365 license to users.
- Remove License: You can use this tool to remove previously assigned license(s) from users.
- Re-assign/Replace License: The tool provides the capability to replace an existing license with a new one without affecting any of the licensed features. For instance, you can easily replace the Microsoft E3 license with the Microsoft E5 license in a single operation.
- Usage location: Assigning a usage location is a mandatory requirement when assigning a license to a user. If the users are new and do not have a usage location specified, you should ensure to set it while assigning a new license to them.

Assign or Remove Microsoft 365 License for Bulk Users via CSV
Follow these steps to add, remove, or replace different licenses for multiple users in bulk using Office 365 Manager.
- Launch the Office 365 Manager app‘s user interface console.
- Navigate to the Azure AD page, which is the default page when you open the application.
- Go to the License tab and select Update (License) using CSV. This will open the Update Bulk Users License using CSV action UI.
- In the action UI, click on the ‘Download sample CSV file‘ link to get a template CSV file for bulk update license.
- Replace the user and license details in the template CSV file with the information for your Microsoft 365 users and the required license. Alternatively, adjust your existing CSV file to align with the format of the template CSV file.
- Click the Browse button to choose your CSV file. This action will load the details from the CSV file into the grid.
- Finally, start the license update process by clicking the Update button.
- Monitor the progress of the action in the result window. Once the action has successfully completed, you can export the results by clicking the Export button.
This functionality allows you to select both users and licenses from a CSV file and subsequently update the licenses associated with those users.
